THE ROLE

We're looking for a passionate, people-focused Workplace Experience Coordinator to create an office where people genuinely enjoy coming to work.

You'll be the driving force behind our workplace experience - ensuring everything runs smoothly while building a welcoming, vibrant workplace through thoughtful experiences, engaging events, and an exceptional office environment. You'll be the heartbeat of our Brighton office - the person who notices what makes a workday better and does something about it. You'll collaborate closely with our Office & Facilities team, based in our Skopje, North Macedonia office, aligning on processes, budgets, and shared initiatives across both locations.


This is an ideal opportunity for someone who loves creating great experiences, thrives in a fast-paced environment, and enjoys balancing operational excellence with creativity.

This is a part-time role based in our Brighton office, at 20 hours per week: 9:00am–1:00pm, Monday to Friday. Core hours are set in the mornings to align with day-to-day office operations, guest and new-starter welcome, and supplier deliveries. On occasion, and in line with events, socials, or seasonal activities, the working pattern may be adjusted, for example, moving an individual day to a 1:00pm–5:00pm slot, or working a mixed pattern across the week. Any changes will be planned and agreed in advance.

Job requirements

KEY RESPONSIBILITIES

  • Plan and run initiatives that build connection and belonging across the Brighton office

  • Organise events/social activities according to a set budget; socials, celebrations, wellbeing moments, seasonal events, and one-off surprises that make the office memorable

  • Track and measure workplace experience, using feedback and engagement trends to understand what's working and where to improve

  • Recommend and introduce new initiatives that keep the workplace experience fresh and evolving

  • Oversee the day-to-day running of the office, ensuring a safe, efficient and enjoyable workplace.

  • Support with other office & facilities duties as required (i.e supplies, general office management, international travel management) to ensure the office runs smoothly

  • Design and deliver a warm, well-organised welcome for new starters so their first days feel personal, not procedural

  • Welcome guests, candidates, and visitors so every interaction with Sopro's office reflects our culture

  • Support the Global Office & Facilities Manager in maintaining a safe and compliant workplace by coordinating local Health & Safety activities, including liaising with suppliers, maintaining records, assisting with risk assessments, and ensuring required checks are completed on time.

  • Support the Marketing team by capturing and sharing day-to-day moments from the Brighton office (events, socials, and everyday office life) for use in “Life at Sopro” social media content

  • Partner closely with the People & Culture team to align workplace initiatives with the wider employee experience

  • Actively look for ways to improve the workplace experience rather than waiting to be asked

  • Experience planning and running events and company gatherings

  • Comfortable managing a budget: tracking spend, comparing costs, and negotiating with suppliers

  • A confident organiser who thrives on juggling multiple priorities

  • Equally comfortable managing operational tasks and creative projects

  • Enjoys creating community and memorable moments, not just ticking off admin tasks
